Summary
POSITION SUMMARY:
The Warranty Coordinator is responsible for coordinating all incoming service requests, as well as resolution by internal and external resources, and communicating with the Warranty Technician and Warranty Manager. The purpose of the coordinator is to address customer issues and ensure effective communication. The Warranty Coordinator is primarily responsible for administration, documentation, and communication with scheduling.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Organize, manage, and document internal and external warranty service requests in NewStar Service Module
- Document and contact all required parties to address service requests and/or work order requests
- Coordinate with Customer Experience Advisor (“CEA”) the transition of new homes from Construction to Warranty Department including tracking and completion of any remaining Pre-Closing Orientation (“PCO”) items at closing
- Delegate and distribute work orders to subcontractor(s) or Warranty Technician accordingly to respond to service requests and/or work orders
- Manage follow-up protocol to internal and external customers regarding service requests and/or work orders
- Organize and manage completed service requests and/or work orders. Maintain documentation of homeowner-signed completed Work Order(s) documentation from the subcontractor and/or the Kolter Warranty Technician
- Track response and completion timelines to assist Warranty Manager with prioritizing resources
- Provide timely and accurate information to incoming service requests statuses and product knowledge requests
- Provide timely feedback and documentation support of service requests to the department regarding service failures or customer concerns
- Respond to all warranty service requests appropriately, in a timely manner, and in accordance with company policies and procedures
- Track and monitor vendor performance relevant to warranty service requests and report deficiencies to the Warranty Manager
- Coordinate alongside Construction and CEA teams, the completion of any remaining items for homeowner after closing.
SUPERVISORY RESPONSIBILITIES:
- No supervisory responsibilities are required for this position
REQUIRED JOB KNOWLEDGE, SKILLS, AND ABILITIES:
- Read and interpret construction documents and other related work documents
- Effectively and professionally communicate (in oral and written form) with internal and external Purchasers
- Manage multiple priorities in a timely and professional manner with strong attention to detail with limited supervision
- Demonstrate commitment to integrity, company values, customer-focus, and established policies and procedures
- Display professional appearance and manner
- Maintain acceptable Motor Vehicle Record (MVR) and valid driver’s license
- Experience working in wood trim, drywall installation and repair, interior and exterior paint application, cabinetry installation and appliance hookup is a plus
- Ability to retain knowledge of items covered under Kolter Homes warranty program
EDUCATION AND/OR EXPERIENCE:
- High School diploma or above
- Minimum of two years customer service experience in a similar position, preferably with a high-volume builder
